Account

How do I access my account?
You can access your account by clicking the icon in the top navigation bar. If prompted, enter your e-mail address and password for your Vixly account.
How do I change the e-mail or password of my account?
Go to My account > Profile:
  • Change e-mail:
    1. Click on Edit next to your current e-mail address
    2. Enter the new e-mail address
    3. Enter the verification code sent to your new e-mail address
  • Change password:
    1. Click on Change password
    2. Enter and re-enter the new password
    3. Enter the verification code sent to your e-mail address
How do I subscribe or unsubscribe to Vixly news e-mails?
Upon your consent, we may send you e-mails with news and offers from Vixly and Provider(s). To make changes, go to My account > News and check (subscribe) or uncheck (unsubscribe) to news and offers from Vixly and/or Provider(s).
How do I subscribe or unsubscribe to Vixly notification e-mails?
You can subscribe or unsubscribe to booking notifications and/or reminders by going to My account > Profile
Can I use my Vixly (host) account to book appointments with other providers?
Yes, you may use your host account to book appointment with third-party providers. Appointments with third-party providers will be added to My account > Schedule and the time will be blocked to ensure that you are not booked by one of your clients.
How do I view my personal information stored by Vixly?
Go to My account > Privacy and click on Download my Vixly data to download a text file with the information stored by Vixly.
How do I delete my Vixly account?
Go to My account > Privacy:
  1. Click on Delete my account
  2. Click on Delete account
  3. For final confirmation, enter the verification code sent to your e-mail address
Warning: This will permanently delete your Vixly user account and all related data! If you have upcoming bookings, you will be asked to cancel these before deleting the account.

Schedule

Where do I see my appointments?
Go to My account > Schedule to see your calendar with appointments booked by clients.
How do I change my availability?
Go to My account > Availability to view and change your availability:
  • You can have multiple entries of availability per day, e.g. before and after lunch.
  • Changes to your availability will not affect existing bookings by clients.
For ad-hoc blocking of your availability, go to My account > Schedule and double-click on the desired day and time to add a Personal event (e.g. dentist appointment). Alternatively, click on in the top right-hand corner of the calendar.
How do I change an appointment?
Go to My account > Schedule:
  • Click the appointment you want to change
  • Click on Change
  • Subject to how your organization and services are configured, you may change one or more of the following:
    • Appointment (video, in-person, phone)
    • Location (if appointment is set to in-person)
    • Language (if you provide the service in multiple languages)
    • Host (you or one of your co-workers)
    • Time (date and time)
  • Click on Confirm to apply the change
Upon any change, Vixly sends an updated booking confirmation e-mail to the client and any invited guest(s).
How do I cancel an appointment (and how will the client be refunded)?
Go to My account > Schedule:
  • Click on the appointment you want to cancel
  • Click on Cancel booking
  • Click on Confirm to confirm the cancellation

Upon cancellation, Vixly sends a booking cancellation e-mail to the client and any invited guest(s).

For organizations with an active Vixly/Stripe integration (enabling prepay), paid bookings are fully refunded (100%) to the client when the cancellation is made by Host. The organization will be charged with the Vixly and Stripe transaction fees.
How can clients schedule an appointment directly with me (and not one of my colleagues)
In order for a client to be able to select you when making an appointment, the service in question needs to be configured with "Allow customer to book specific user" by an administrator in your organization. When this is configured, clients will be able to schedule appointments with you as follows:
  • From the Vixly page of your organization
  • From your personal Vixly page

You can find the links to the Vixly pages in Services.

For a service with Visibility set to Personal (configured by an administrator), the service will only appear on your personal Vixly page.

How do I start a video session?
Go to My account > Schedule and click on the appointment in question.

  • If multiple media devices are available, click to select which camera, microphone or speaker to use
  • When ready, click to start
Note: Speaker button is only present if using Google Chrome, Microsoft Edge or Firefox (since version 116).
How do I share my screen?

Click on and select the tab, window or screen that you want to share.

Vixly supports multiway content sharing so that multiple persons may share screen with each other at the same time.
